For web design agencies

Your clients.
Your hours.
Your money.

ClientJar is the no-nonsense back office for small web shops. Track every hosting renewal, confirm auto-renew payments actually landed, clock your hours against each client's yearly allowance, and stop losing change requests in a Trello board.

No credit card. Import-free setup: add a client in 20 seconds.

Everything a web shop actually needs.
Nothing it doesn't.

Built by a small agency that was running 60+ hosting clients out of card titles like “Bistro 08/28 AUTO”. Every feature exists because something slipped through the cracks.

And when something is slipping (a client paid for SEO you haven't done, a monthly bill you forgot to send, a report that never went out), the Coach tells you. Bluntly.

Renewals that don't slip

Every hosting, SEO, domain and maintenance plan with its renewal date, price and billing interval. Monthly, quarterly, yearly or one-time — ClientJar rolls the date forward when you mark it paid.

Auto-renew, verified

Auto-renewing clients still need a human to check the money arrived. When a renewal date hits, it lands on your dashboard: Paid, Failed, or Invoiced. One click each.

Payment-link reminders

Paste a Stripe payment link on any plan, choose when (say 14 and 3 days out) and ClientJar emails the client for you, from your own mailbox via your SMTP.

Clock in. Clock out.

A timer bar sits on every page. Pick the client, hit clock in, get to work. Tie time to a specific change request, or log hours after the fact.

4h

Yearly hour allowances

Every client gets 4 hours of changes per year by default (set your own per agency or per client). See who's close to their cap and turn overage into a draft invoice in one click.

Change request board

To do, in progress, waiting on client, done. Due dates, priorities, estimates versus actual time logged. Overdue work goes red, so you'll see it.

$

Invoices & balances

See what you still need to invoice, what's sent and waiting, what failed and what's paid, per client and overall. Track build deposits and final payments.

Project pipeline

Leads → proposal → building → review → launched. Deal values, deposits collected and what's still owed on every build.

!

A coach that nags

ClientJar reads your dates and tells you what you're dodging: SEO months paid for with no work logged, monthly bills never sent, reports never delivered, deposits sitting idle. Ranked by how bad it is.

#1

SERP tracking & reports

Track each client's keywords, log their Google positions and see what moved. Then send a monthly report of rankings plus the work you did, in one click.

Client vault

Hosting, WordPress, registrar and DNS logins stored encrypted with each client, so you're not digging through your inbox at 11pm.

How it works

02

Work the dashboard

Payments to confirm, renewals coming up, change requests due this week and clients running low on hours, all on one screen.

03

Questions

Does ClientJar charge my clients?

No. You keep using Stripe (or PayPal, checks, whatever). ClientJar emails your existing Stripe payment link and gives you a one-click way to confirm the money arrived.

Where do reminder emails come from?

Your own mailbox. Enter your SMTP details (Google Workspace, Hostinger, Zoho, etc.) and reminders go out as you, with replies coming back to you.

How do yearly hour allowances work?

Each client gets a yearly bucket of change-request time, 4 hours by default. The year runs from their hosting renewal date, or the calendar year if they don't have one. Clock time against them and ClientJar shows who's under and who's over.

Can my team use it?

Yes. Add team members under Settings. Everyone gets their own timer and everything stays inside your agency.
